Grad Party Volunteers Needed

Lots of parent help is needed to ensure a fun and safe Grad Party for our kids.  Please contact Debbi Nadell, debbinadell@gmail.com, and let her know what you can help with.  We need –

  • approximately 20 parents to help load kids onto the bus at the Chiles Center, from 9:45 to approximately 10:30
  •  16 parents per shift in the Casino, help from 10:30 – 1:00 or 1:00 – 3:30
  •  other parents to chaperone and do security at the venue from 11:00 to 5:00 am, any amount of time you can help will be appreciated

May Volunteer Meeting Moves to Wednesday, May 2

As the Beaverton School District will hold its Budget Open Meeting at Sunset on May 1st,the May meeting is moving to Wednesday, May 2nd at 7:00 in the Community Room.  Final details regarding Ticket Sales, Food and Grad Party Volunteers are all planned for discussion.

Also, don’t forget to have your senior bring the signed Waiver and Code of Conduct with them when they purchase a ticket at school.

Grad Party is Getting Close—Lots of Info and Updates

Here’s a message about fundraisers and volunteers needed from Grad Party Planning Co-Chairs Debbi Nadell and Michele Burke:

Hi Grad Party Parents,

Minutes from our April 3rd meeting are (now available on the website) – thanks Cindy Larson!  We are only two months away from Graduation and the Grad Party.  Lots of parent help is needed to make the party a success for the kids – see below for how you can help!

We have come very close to our fundraising goals – we still have these fundraising activities continuing –

- Grad Party VIP Raffle – Win 10 reserved seats at Graduation, a reserved parking space at the Chiles Center, and a photography package.  Tickets are $10 each – only 65 left!  Contact Kathy Hall, kathleenmhall@frontier.com.

- Kaady Car Wash Passes – Warm and sunny weather is on the way!  Kaady Car Wash passes make great gifts for Mother’s Day, Graduation, End of the Year, etc.  Passes are $30 for 5 washes.  Contact Debbie Hempy, debbiehempy@yahoo.com.

- Parent donations are still being accepted.  The cost of the party per student is more than what is covered by the ticket price.  If you want to help fill in the difference, check http://sunsetapollosgradparty.wordpress.com/donate/ for donation info.

Volunteer Needs – Reply to debbinadell@gmail.com so we know where you can help!

  • Invitations and posters are at the printer.  We will be stuffing envelopes on Thursday, April 12th from 10:00 – 12:00 in the Community Room.
  • We can advertise the party in the display case across from the vending machines in the Commons.  A couple of creative people needed to help out with this!
  • Ticket sales scheduled for the following – April 27th before and after Senior Assembly, May 15th and 16th during both lunches, June 6th at the Senior Breakfast – help needed for all dates!

Time to sign up for volunteering the night of the party.

We need parents to help with the following –

  • Bus Loading – following Graduation from approximately 9:45 – 10:30, about 20 parents are needed to help get the kids onto buses
  • Photo Help – We have several parents who have volunteered to take photos at the Grad Party.  They will need some help on-site from one or two parents familiar with downloading photos to work on the technical side.
  • Chaperones and Activities – The venue requires us to have a minimum of 19 parents on site the entire time to help with security and chaperoning.  In addition, we need volunteers to run the Casino area, help with Boxer Bingo, and staff the Wedding Chapel.  Volunteers can stay the entire time of the party – 11:00 – 5:00 – or come for a two or three hour shift.

Please forward this on to your friends and neighbors who may not be on the list but are interested in helping out with the party.

Send Out Apollograms to Your Grad at the Party

Apollograms have long been a staple of Sunset’s Grad Parties. These notes come from family and friends and are delivered to students during the party after graduation.

It’s easy to send something to your child or someone else you may know. Simply fill out a form and turn it into the Sunset High School office by Friday, June 1, 2012. Below is a copy of what the form looks like. Here’s the link for you to download a copy to print: 2012 ApolloGram.

Parents, relatives, friends, classmates, teachers and coaches are encouraged to send congratulatory messages to this year’s Seniors. Students will be given their
messages at the 2012 Senior Grad Night celebration on June 13.

To send an Apollogram, simply copy this form as many times as you need and give it to anyone who would like to send a note to your graduate. Please use the
student’s FULL First & Last to avoid delivery errors. If you prefer to seal your
message, be sure to write the student’s name on your outer envelope.

Drop them off in the “APOLLOGRAM Mailbox” at the Sunset Main Office by

Updates on Volunteers, Action Needed for Grad Party

Hi Grad Party Parents,

We are just a little more than three months out from Graduation and the Grad Party, so lots of activity is going on to pull things together for a great event!  Here are things to know –

- We have fewer than 100 raffle tickets left for the VIP Graduation Raffle Package.  See the fundraising page for info on purchasing your chance to win 10 reserved seats, reserved parking, and a photography package for your 2012 grad.  Contact Kathy Hall, kathleenmhall@frontier.com, to buy tickets.

- Thanks to Liz and Chris Sarles for hosting a fantastic Wine Tasting Party on Friday night!

- We have Kaady Car Wash passes for sale and are accepting parent donations.  Contact Debbie Hempy, debbiehempy@yahoo.com, for either of these.

- Volunteers Needed for –
- Cleaning out the Grad Party supplies stored at Sunset, Thursday, March 15th at 4:00; contact Sarah Moshofsky, sarah.moshofsky@gmail.com, if you can help.

- Additional Photographers needed to help at the Grad Party.  We have two dads signed up so far to take pictures during the party.  Photos will be posted online so students/parents can download or order prints.  We would like to have a few more photographers so we can have good coverage during the party.  Let Debbi know (Debbi Nadell (debbinadell@gmail.com) if you can help.

- Transportation Coordinator – The bus contract is already in place, but we need someone to take over as the contact, and help us organize the bus boarding after the graduation ceremony.  Check with Debbi (debbinadell@gmail.com) for more info.

- Invitations will be going into the mail on April 13th.  We need people to help prepare and stuff envelopes that week.  Exact times to be decided.  Let Debbi know (debbinadell@gmail.com) if you can help.

New Minutes Added, Plus Events in the Coming Weeks

We now have a theme for the party. This theme will be used to create tickets and other promotional materials as well as some decorations to be used during the party. This year’s theme is “Good Life,” inspired by the song by One Republic.

*** Needed – A parent to help with the 50/50 fundraiser during the Basketball Game on February 15.  Please contact Debbi Nadell (debbinadell@gmail.com) as soon as possible if you can help.

** Can and Bottle Drive this Saturday, February 11, from 10:00 am – 1:00 pm at Bales Thriftway. Bring your returnable cans and bottles! Let your neighbors know!

** Wine Tasting Party on Friday, March 9 – See the invitation on the Fundraising page.

** Parent donations are really appreciated!  (Click here to see copy of letter asking for donations.) If you are making a donation with matching from Intel or Nike, please turn it in soon. It takes a while for the larger companies to process the matching funds.

** Don’t forget about Kaady Car Wash passes as Valentine’s Day gifts – especially good for anyone who wants to lower their chocolate consumption!  You get six passes for the price of 5 ($30, with $10 going to the grad party funds).
